Technology is constantly evolving and opening up new possibilities at events all over the world.

Modern technological innovations are making it easier to run events – and to add exciting and innovative features to these events. The modern event planner has a lot of different technologies and tools at their fingertips, which can be used in a range of different ways. However, these tools need to be used in the right way so that they are effective or they risk adding needless complexity and don’t deliver anything of value.

When it comes to using technology at your event, how can you make sure that you are maximizing its potential? Here are 5 important tips to keep in mind to ensure that your event technology is as effective as possible.  

1. Identify a Clear Purpose for Your Technology

Sometimes event organizers simply add in technology to an event for the sake of it. But when this isn’t done in a thoughtful way, the technology may not enhance the experience.

Whenever you use technology, it should always have a clear purpose and rationale behind it. Otherwise, how will you be able to tell whether or not the technology did its job well?

Work with your technology provider to come up with a solution that will help you to achieve your goals. This will help to ensure that the technology you choose is a valuable addition to your event, rather than just an add-on.

2. Educate Your Attendees

While it’s very exciting to introduce new technology at an event, not all of your attendees will have the same level of technical prowess. Depending on their experiences with similar technology, they might find it confusing or difficult to figure out. If this is the case, they might be hesitant to use it or unable to enjoy the full potential of the technology.

3. Measure the Performance

If you want to maximize the effectiveness of your event technology, you must measure its current performance. After all, you can’t improve what you don’t measure. 4. Integrate with Attendees’ SmartPhones

It used to be that attendees were told to turn off their mobile devices during an event. However, these days smartphones are an integral part of event proceedings. You can assume almost everyone attending your event will have one and will be actively using it.

Here are some ways that you can integrate your event technology with the smartphones of your attendees:

  • Create an event app to help your attendees navigate the conference, read more information about the speakers and access other resources.
  • Start a hashtag for the event and encourage people to share Tweets, Facebook updates, Instagram posts and more about the event.
  • Link the event sessions to location maps on Google Maps using a smartphone GPS.
  • Create a contest where the attendees tag photos of the conference on social media in exchange for prizes.
  • Use QR codes on the signage outside of workshops that link to speaker bios and other information about the workshop.

5. Create More Than Just an Event App

Creating an app for your event is a great idea. It is a very convenient way for your attendees to find information about the speakers and workshops and plan their day. 

However, many people hate downloading an app that they are only going to use only once. It consumes valuable storage space on their phone and takes some time to figure out how to use.

So, when creating your event app – try to think about how you can design it so that it offers value to attendees before, during and after the event. Perhaps it offers a channel for them to network with other people in their industry? Or maybe it offers them valuable information and resources that make their life easier? Or it provides them with a handy feature that will help them be more organized and productive? No matter what it is, if your app is more useful than just a conference app – your attendees will be more likely to download and use it (and maybe encourage other attendees to do so as well!).
